This Privacy Policy describes how MINDVIBZ, LLC d/b/a RevBuilders AI (“RevBuilders AI,” “we,” “us,” or “our”) collects, uses, discloses, and otherwise processes Personal Information in connection with our websites, platforms, and services (collectively, the “Services”).

1) Scope: What this Privacy Policy covers

This Privacy Policy applies to Personal Information processed through or in connection with:

  • Our public website hosted on HubSpot: www.revbuilders.ai

  • Our learning/community portal hosted on LearnWorlds: portal.revbuilders.ai

  • Our AI agent platform hosted on AnyBiz: agents.revbuilders.ai

  • Any other websites, pages, forms, assessments, landing pages, events/webinars, or services that link to this Privacy Policy

This Privacy Policy does not apply to third‑party websites or services that we do not control, even if they are linked from our Services. Their privacy practices are governed by their own policies.

2) Key definitions

  • “Personal Information” means information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked (directly or indirectly) with an individual.

  • “Customer” means a business entity that subscribes to, purchases, or otherwise uses our Services.

  • “Authorized User” means an individual authorized by a Customer to use the Services (for example, employees, contractors, or agents).

  • “Prospect” means an individual whose business contact information may be processed in connection with B2B prospecting, outreach, lead generation, consulting, training, or related services.

  • “Customer Data” means Personal Information a Customer (or its Authorized Users) uploads to, integrates with, or otherwise provides through the Services (for example, CRM records, lead lists, contact lists, call outcomes, campaign content, and related data).

3) Roles: When we are a controller vs. a processor

Depending on the context, we may process Personal Information as:

  • a Controller (or “business” under certain US privacy laws), such as when we process Personal Information about visitors to our websites, marketing leads, event attendees, and individuals who contact us directly; and/or

  • a Processor (or “service provider/processor”), such as when we process Customer Data on a Customer’s instructions to provide the Services (including AI agent workflows and CRM-connected services).

If you are an Authorized User using the Services through a Customer account, your use of the Services and much of the Customer Data may be governed by the Customer’s instructions and privacy practices. If you have questions about a Customer’s processing of Customer Data, please contact that Customer directly.

4) Personal Information we collect

We collect Personal Information from (A) you directly, (B) automatically through your use of the Services, and (C) third parties.

A) Information you provide to us

Depending on how you interact with us, we may collect:

Contact and business profile information

  • Name, email address, phone number

  • Company name, job title/role, industry, company size (if provided)

  • Country/region, mailing/billing address (if provided)

  • Any information you submit via forms, assessments, downloads, surveys, applications, intake questionnaires, or demo/consultation requests

Portal and learning/community information (LearnWorlds)

  • Account information (e.g., name, email, login and authentication details)

  • Profile information you choose to provide (such as photo/avatar, job title, company, location, bio, links)

  • Course enrollment and progress, completion/certification records, community participation, and content you post or message through the portal

AI agent platform information (AnyBiz)

  • Authorized User account and access details

  • Agent/campaign configuration details, preferences, sequences, prompts, scripts, templates, and workflow settings

  • Outreach and engagement metadata (e.g., outcomes, timestamps, reply classifications, scheduled actions)

  • Content generated or stored through the platform in connection with configured workflows

Consulting and professional services information

  • Information shared during workshops, advisory/consulting engagements, implementation projects, and operational support (which may include names, business contact details, job roles, and business communications)

Payments and transactions (Stripe)

  • Billing contact information, subscription status, invoices, and transaction identifiers

  • Payment card information is processed by our payment processor, Stripe. We generally do not store full payment card numbers on our systems.

Communications

  • Messages you send to us (email, forms, chat, support tickets)

  • Meeting and webinar participation details (including, where applicable and permitted, audio/video recordings or transcripts of webinars/meetings—see Section 7 and Section 12)

B) Information we collect automatically

When you visit or use the Services, we may collect:

Device and usage information

  • IP address, approximate location derived from IP address, browser type, device type, operating system

  • Pages viewed, links clicked, referring/exit pages, timestamps, interaction patterns, and diagnostic logs

Cookies and similar tracking technologies

  • Cookie identifiers, advertising identifiers, pixel tags, SDKs, and similar technologies (see Section 9)

Security and fraud-prevention signals

  • Information used to help secure accounts, prevent abuse, detect bots, enforce rate limits, and maintain service reliability

C) Information from third parties

We may obtain Personal Information from:

Customers and integrations

  • For example, when a Customer uploads Customer Data (CRM records, lead lists, contact lists) or integrates our Services with third-party tools (such as CRMs, email systems, or calendaring tools).

Service providers and platform partners

  • Including HubSpot (site/CRM/marketing automation), LearnWorlds (portal), AnyBiz (agent platform), Stripe (payments), and other vendors listed in Section 8.

Public sources and B2B data sources (Prospect data)

  • In connection with B2B prospecting and lead generation services, we and/or our platform partners may process business contact information obtained from publicly available sources (such as professional websites) and from third‑party data/enrichment providers (where permitted by law).

5) How we use Personal Information

We may use Personal Information for the following purposes:

To provide and operate the Services

  • Create and manage accounts (including portal and agent platform accounts)

  • Provide training, learning content, community features, and support

  • Provide B2B consulting and professional services

  • Configure and operate AI-assisted outreach and lead-generation workflows on behalf of Customers (where applicable)

To communicate with you

  • Respond to inquiries and support requests

  • Send administrative messages (e.g., confirmations, service updates, security notices, policy changes)

Marketing and business development

  • Send newsletters, insights, event invitations, promotional communications, and content we think may be relevant to B2B audiences

  • Run advertising and retargeting campaigns (including through LinkedIn and Google—see Section 9)

  • Measure and improve marketing performance, attribution, and conversion tracking

Analytics, improvement, and research

  • Understand how our Services are used

  • Debug, optimize, and improve functionality and user experience

  • Develop new features and offerings (including AI-assisted features)

Security, compliance, and protection

  • Protect against fraud, abuse, and security incidents

  • Enforce our agreements and policies

  • Comply with legal obligations and respond to lawful requests

Deidentified and aggregated information

  • We may create and use deidentified and/or aggregated information for analytics, product improvement, benchmarking, and business insights. Where required, we maintain and use such information in deidentified form and do not attempt to reidentify it.

6) AI, profiling, and automated processing

Some of our Services involve AI-assisted features and workflow automation, including generating or recommending outreach messaging, analyzing engagement signals, and prioritizing next actions.

This may involve:

  • Generating inferences (e.g., lead scoring, interest/intent indicators, prioritization recommendations) based on available data

  • Automating certain outreach steps on behalf of Customers, subject to configuration and controls

Where required by law, we provide appropriate notices and choices. We do not intend to use automated processing to make decisions that produce legal or similarly significant effects on individuals without appropriate safeguards.

7) Calls, recordings, transcripts, and communication analysis

Certain workflows available through our agent platform (including AnyBiz-powered features) may involve calling Prospects or other business contacts and may involve recording calls and/or generating transcripts, as well as analyzing call content (for example, for quality assurance, sentiment analysis, lead qualification insights, CRM logging, and follow-up automation).

Important notes:

  • Recording and transcription features may vary by provider and configuration.

  • Where calls are recorded and/or transcribed, we will provide notice and obtain consent where required by applicable law, including jurisdiction-specific requirements.

  • If you do not want a call to be recorded, you may communicate that during the call (where feasible) or contact us at admin@mindvibz.com for alternative options or suppression (see Section 11).

We may also analyze business communications and engagement signals (e.g., email replies, meeting scheduling outcomes) to support campaign operations, analytics, and follow-ups, consistent with applicable law.

8) How we share Personal Information

We may disclose Personal Information in the following circumstances:

A) Service providers and subprocessors

We share Personal Information with vendors that help us operate the Services, such as:

  • HubSpot (website hosting, forms, CRM, marketing automation, analytics)

  • LearnWorlds (learning and community portal hosting/operations)

  • AnyBiz (AI agent platform and related workflow operations)

  • Stripe (payment processing)

  • Microsoft 365 (email, file collaboration, business operations) and Microsoft Teams (meetings)

  • Xero (accounting)

  • Riverside.fm (webinars/recording production workflows)

  • YouTube (video hosting and embeds)

  • Google Analytics (website analytics)

  • Google Ads (advertising, conversion tracking, remarketing)

  • LinkedIn (organic/paid social and advertising/retargeting tools)

  • X (organic social)

These vendors are permitted to process Personal Information only to provide services to us (or as otherwise permitted by applicable law and contract). Vendors may also process certain data as independent controllers (for example, advertising platforms) as described in their own policies.

B) Customers (when acting on their instructions)

If you interact with a landing page, outreach flow, or campaign operated on behalf of a Customer, we may share relevant information (e.g., your business contact details and interaction history) with that Customer so they can follow up with you.

C) Advertising and retargeting partners

If you visit our sites and we have enabled advertising cookies/pixels, we may disclose identifiers and online activity information to advertising partners such as LinkedIn and Google for retargeting, measurement, and conversion attribution (see Section 9 for choices).

D) Legal, safety, and compliance

We may disclose Personal Information to comply with law or legal process, respond to lawful requests, protect rights and safety, investigate fraud or security issues, or enforce agreements.

E) Business transfers

If we are involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, Personal Information may be transferred as part of that transaction.

F) With consent

We may share information with third parties when you direct us to do so or consent.

9) Cookies, analytics, and targeted advertising (retargeting)

We (and our partners) use cookies, pixels, SDKs, and similar technologies to provide functionality, analyze performance, and run advertising campaigns.

A) Types of cookies/technologies we may use
  • Strictly necessary: core website and security functions

  • Preferences: remembering settings and choices

  • Analytics: understanding usage and improving the Services (e.g., Google Analytics)

  • Advertising/Marketing: measuring campaigns and enabling retargeting (e.g., LinkedIn and Google Ads technologies)

B) Retargeting and cookie ID sharing (LinkedIn + Google)

Because we plan to run retargeting ads, certain advertising technologies may:

  • collect or receive information about your visit (such as pages visited, identifiers, and approximate location derived from IP)

  • use cookies or similar identifiers

  • help us build remarketing audiences, measure conversions, and improve ad relevance

C) Your choices

You can manage these technologies in several ways (availability depends on your device/browser and applicable law):

  • Cookie controls/consent banner: where available, you can accept or reject non-essential cookies.

  • Browser settings: you can limit or block cookies through your browser.

  • Google controls: you can manage Google ad personalization via https://adsettings.google.com.

  • Google Analytics opt-out: https://tools.google.com/dlpage/gaoptout.

  • LinkedIn controls: LinkedIn members can manage ad settings through LinkedIn’s settings and privacy controls (see LinkedIn help center and account ad settings).

Global privacy signals: Where required, we will honor recognized opt-out preference signals (such as browser-based global privacy controls) for applicable processing activities.

10) Data retention

We keep Personal Information for as long as reasonably necessary to fulfill the purposes described in this Privacy Policy, including to provide the Services, comply with legal obligations, resolve disputes, enforce agreements, and maintain business records.

Retention periods vary depending on the type of information and the context. Our common default retention approach includes:

  • Lead / prospect data: typically 1–3 years from last meaningful interaction, or earlier if you opt out, unsubscribe, or request deletion (subject to legal exceptions).

  • Customer CRM sync / Customer Data: retained for the duration of the Customer relationship and as otherwise required by contract, Customer instructions, and applicable legal obligations (for example, audit/security logs).

  • Call recordings / transcripts (if enabled): typically retained up to 12 months, unless a shorter period is configured, deletion is requested/required, or longer retention is necessary for legal compliance or dispute resolution.

  • Portal learner records: account and learning records may be retained for a reasonable period after cancellation; completion/certification records may be retained for up to 7 years post-cancellation for auditing, customer support, and recordkeeping purposes (unless deletion is requested and applicable exceptions do not apply).

  • Opt-out/suppression records: we may retain limited information necessary to honor your opt-out preferences.

We also apply data minimization and purpose limitation principles, and we may delete or de-identify information when it is no longer needed.

11) Your choices

A) Marketing email opt-out

You can opt out of marketing emails at any time by using the unsubscribe link in the email or by contacting us at admin (at) mindvibz. com. Even if you opt out of marketing, we may still send non-promotional communications (e.g., service notices, security updates, transactional messages).

B) Prospect outreach suppression (email/phone/social)

If you are a Prospect and you do not want us (or Customers using our Services) to process your Personal Information for B2B outreach via our Services, you can request suppression by emailing admin (at) mindvibz. com. Please include enough information for us to identify your record (e.g., the email address and/or phone number used to contact you).

C) Cookies and targeted advertising opt-out

See Section 9 for cookie controls and opt-out options related to analytics and targeted advertising.

12) Your privacy rights

Depending on where you live and applicable law, you may have rights regarding your Personal Information. These may include:

  • Access to Personal Information

  • Correction of inaccurate information

  • Deletion (subject to exceptions)

  • Data portability (in certain cases)

  • Objection or restriction (especially under GDPR/UK GDPR)

  • Opt-out of certain processing (e.g., targeted advertising, certain profiling)

A) California privacy notice (Notice at Collection + CA rights)

Notice at Collection (summary)
We collect the categories of Personal Information described in Section 4 for the purposes described in Section 5. We retain Personal Information as described in Section 10.

Depending on how you interact with us, categories may include:

  • Identifiers (name, email, phone, online identifiers, IP address)

  • Customer records (billing/contact details)

  • Commercial information (subscriptions/services purchased)

  • Internet/network activity (site/app interactions)

  • Approximate geolocation (derived from IP)

  • Audio/electronic information (communications; and where enabled, call recordings/transcripts)

  • Professional/employment information (company, title, role)

  • Education information (portal learning records, where applicable)

  • Inferences (e.g., lead scoring/intent indicators)

“Sale” / “Share” (targeted advertising)
We do not sell Personal Information for money. However, our use of advertising and retargeting technologies may involve sharing identifiers and online activity information with advertising partners (such as LinkedIn and Google) in a way that may be considered a “sale” or “sharing” under certain privacy laws.

California rights
California residents may have the right to request access, deletion, and correction; to opt out of the sale/sharing of Personal Information (as defined); and to limit certain uses/disclosures of Sensitive Personal Information if applicable. You also have the right not to be discriminated against for exercising your rights.

We will verify your request and respond as required by law. You may also use an authorized agent where permitted, subject to verification requirements.

B) Other US state privacy rights

Residents of certain US states may have similar rights to access, delete, correct, and opt out of targeted advertising and certain profiling. You may submit requests via admin (at) mindvibz. com, and we will process them in accordance with applicable law.

C) EEA/UK/Switzerland (GDPR/UK GDPR)

If you are located in the EEA/UK/Switzerland, you may have the right to:

  • access, correct, or delete your Personal Information

  • object to or restrict processing

  • withdraw consent where processing is based on consent

  • receive a copy of your data (portability) in certain cases

  • lodge a complaint with your local data protection authority

Legal bases (EEA/UK/Switzerland)
We process Personal Information under one or more of the following bases:

  • Contract (to provide Services you request or administer accounts)

  • Legitimate interests (e.g., improving Services, securing Services, B2B marketing and business development)

  • Consent (where required, such as certain marketing cookies/technologies)

  • Legal obligation (compliance)

You may object to our processing for direct marketing at any time.

13) Security

We implement reasonable administrative, technical, and organizational measures designed to protect Personal Information against unauthorized access, disclosure, alteration, and destruction.

No security measure is perfect. You are responsible for keeping your account credentials confidential and for using unique, strong passwords.

14) International data transfers

We are based in the United States, and our service providers may process Personal Information in the United States and other countries. Where required by law, we rely on appropriate safeguards for cross‑border transfers.

15) Children’s privacy

Our Services are intended for business users and are not directed to children. We do not knowingly collect Personal Information from children under 13 (or under 16 where applicable). If you believe a child has provided Personal Information to us, please contact admin (at) mindvibz. com

16) Changes to this Privacy Policy

We may update this Privacy Policy from time to time. The “Last Updated” date listed below indicates when it was most recently revised. Material changes will be posted on this page, and we may provide additional notice where required.
